The goods lift decides your move date

Most towers in Dubai restrict the goods lift during office hours. Other tenants are taking deliveries, the lift runs in booked slots, and building management will not hand a whole afternoon to one company moving out. That is the first reason office moves here happen at night or over a weekend, before your own trading reasons are even counted.

Night and weekend access needs written approval from building management, not a phone call on the day. Security will usually want a crew list with names and Emirates ID details in advance, plus vehicle details for the loading bay. In free zone buildings such as the DMCC towers in JLT, in DIFC and in parts of Business Bay, that approval can take longer than in a mainland premises, because the free zone authority and the building both have a say.

We apply for the access approval at both ends, book the lift slots and send the crew list to security before the date. What we need from you is the tenancy paperwork and a name at each building who is allowed to sign. Start it early, because building management is the most common reason an office move date slips, ahead of anything to do with furniture. Changing the address on your trade licence is a separate job again and it stays with you, because only the licence holder can do it.

Labelling by desk, not by room

A house move is labelled by room because there are six rooms. An office has one open floor with forty people on it, so a label that says office tells the crew nothing. We label by desk number and by department instead.

Before the move we take the floor plan for the new premises and number every desk position. Each desk, pedestal, chair, monitor and crate is then tagged with the number it belongs to. On arrival the crew reads the tag, finds the position on the plan taped to the wall, and puts the item down there. Nothing is stacked in a corner for your staff to sort out on Monday.

Desk contents, files and stationery go into reusable sealed crates rather than cartons. Crates stack without collapsing, they close properly, and they are numbered against a list, so a crate of client records cannot quietly go missing. We collect them once you have unpacked, which also means no mountain of flattened cardboard in your new reception.

Where our work on the IT stops

We disconnect monitors, docking stations, desk phones, printers and screens, label every cable at both ends, carry them in crates and set them back on the correct desk. That is the physical half of the job and it is ours.

We do not configure your network, your servers or your phone system, and no moving company should offer to. Have your IT provider on site at the shutdown and again at the restart, and we will work to their order of events. Usually that means the servers and comms come down last on the night and go back up first at the new office, so the network is live before the desks are populated.

Server racks and comms cabinets are treated as their own task. Equipment comes out of the rack rather than the rack being moved loaded, everything is photographed in place before it is touched, and the cabinet travels empty. If your server room has a UPS, say so at the survey, because the batteries are heavy and awkward and that is not something to discover at ten at night.

What an office move in Dubai costs

Office moves are priced on the number of workstations first, then on access and timing. Twenty desks moving between two towers with booked goods lifts is a straightforward overnight job. The same twenty desks with a long carry from the loading bay and no lift slot is a much longer night, and an honest price has to say so.
